Job Description

Vantac Management Ltd, a leading real estate development management company in Vancouver, is seeking a progressive business minded individual to lead the way with respect to their administrative and people and culture operations as an Administrative Services Manager (NOC 0114). The company specializes in land investment, land development, land management, architectural planning, construction management, as well as post-property maintenance. The Administrative Service Manager is an integral part of the team, supporting the CEO, the Operation Manager and the Project Manager and is responsible for coordinating other functional office management of Vantac Management Ltd. The Administrative Service Manager plays a key leadership role within the firm.  Day to day activities include office administrative management, evaluating and managing the Firm’s processes and systems, providing input for the marketing of the Firm’s services, and overseeing client development activities within the office.

-          Provide confidential administrative support to the Management Team and Partners;

-          Carry out, oversee and co-ordinate office administrative procedures;

-          Administer policies and procedures related to the management of records;

-          Coordinate with internal departments, outsourced subcontractors and other bodies

to meet the work requirements for the construction, marketing and sales of real estate project developed and managed by Vantac Management Ltd.;

-          Negotiate, prepare, approve and control third-party service contracts for projects;

-          Develop and implement various policies & procedures, coordinate contractors, prepare progress reports and otherwise closely work with other business units to ensure that all retrofit as well as new construction and landlord base building & tenant leasehold improvement work are performed on time and within approved budget;

-          Provide direction on human resources functional tasks and priorities;

-          Collect and analyze latest local real estate statistics and information in respect to market positioning, pricing, sales tactics and multi-media/PR campaigns for development projects;

-          Oversee and control the budget plan for project to reach the most cost-effective outcome;

-          Prepare report on local property sales data and sales trends;

-          Lead general operations of the firm including culture, training, performance, and structure;

-          Determine practice area staffing needs and developing/executing an effective recruitment strategy in collaboration with Firm’s management team.
